The School of Information is concerned with interdisciplinary approaches to better understand the complexities, innovations, and challenges of a global and technologically complex information society. Position Summary:

The Academic Program Specialist assists students with all university policies and procedures via outlook, phone and in person appointments, manages graduation and academic processes and maintains student files and records. This position also coordinates admissions for academic programs and corresponds with students regarding all matters of academic standing.Minimum Qualifications:

This position requires a high school diploma or equivalent, with four years of experience in office or administrative positions. Appropriate college coursework or vocational/technical training may substitute at an equivalent rate for the required experience.

FLSB1310 Equivalency:
4 years of directly relevant experience may be substituted for bachelor's degree.
6 years of directly relevant experience may be substituted for master's degree.Working at USF

  • Assists students with all university policies and procedures via outlook, phone, and in person. Manages graduation and academic processes and forms. Maintains student files and records for current, graduating, and alumni. Coordinates student files/records, ensuring copies are on file where appropriate. Coordinates admissions for Masters in Intelligence Studies, Masters in Cybersecurity Intelligence and Information Security, and Masters in Library and Information Science.
  • Manages student event coordination. Acts as liaison with the Graduate School's policies and procedures. Manages all aspects of student correspondence for MLIS, MSCIIS, and MSIS programs regarding academic standing, including, but not limited to, admission inquiries and degree certification support. Schedules and posts semesterly Canvas announcements for all programs. Assists students through the Admissions process and provides status updates as necessary. Processes course permits. Conducts the initial review of degree certifications before forwarding them to the Academic Services Administrator for final accuracy checks.
  • Provides departmental committee support. Advises on impacts from an academic policy standpoint. Types and/or composes correspondence for Director, Associate Director, and self as needed. Serves as administrative support for the faculty.
  • Provide permit overrides when necessary to students. Provide enrollment reports to the Academic Services Administrator and Program Coordinators to help facilitate future enrollment. Assist Faculty with textbook adoption coordination/textbook orders, and by sending Faculty grading reminders. Assist with updating USF Graduate Handbook and ensuring it reflects current USF policy and procedures.
  • Assists with compiling reports for accreditation and external entities for publication.
  • Performs other duties as assigned.
