Administrative Partner (Finance)



Overview

Location: Houston, TX

Pay is dependent upon experience and will be discussed during the consideration process

The Operations and Administrative Coordinator provides comprehensive administrative and operation-al support for plant and terminal activities. This role ensures the accurate tracking of incoming materials and fuels, inventory items and supports purchasing and invoice reconciliation, coordinates employee onboarding and travel, and plays a vital role in community relations and safety compliance. This per-son will enter manual BOL's as needed, and act as an alternative bulk loading operator as needed. The ideal candidate is detail-oriented, organized, and able to manage multiple responsibilities in a fast-paced environment.

Roles & Responsibilities

Operations Support:

  • Track, receive, and record all material and fuels received into facility.
  • Maintain a revenue report for all port generated business revenue
  • Generate revenue sales orders in accounting software and work with billing to have invoices generated.
  • Act as accounts payable representative for all port generated billed items and follow up with vendors behind on payments.
  • Create and Reconcile reports as needed.
  • Perform month-end reporting and reconciliation of purchasing card expenses.
  • Assist operations with truck loading and BOL entry as required when automated systems are down or needed by operations.

Administrative Duties:

  • Track and process all invoices for timely payment.
  • Supervise contractor responsible for office cleaning.
  • Replenish and maintain inventory of office supplies.
  • Manage Kronos badge replacements and maintain accurate records.
  • Keep files on all vessels, BOL's, and Invoices accurately as needed.
  • Arrange training facilities, catering, and PPE for guests attending meetings in our area.

Community Engagement:

  • Serve as the facility's community liaison.
  • Coordinate and process community donation requests.
  • Organize and support local community and facility events.

HR & Safety Support:

  • Arrange travel for employees and candidates attending onsite interviews.
  • Conduct onboarding activities for new recruits.
  • Schedule and coordinate OSHA-required testing.
  • Maintain monthly safety KPIs and manage the safety boot and glasses allowance program.

Qualifications:

  • High school diploma or equivalent required; associate degree preferred.
  • 2+ years of experience in administrative, logistics, or operations support role.
  • Proficient in Microsoft Office Suite and SAP or similar ERP systems.
  • Strong organizational and communication skills.
  • Ability to manage multiple tasks with accuracy and efficiency.
