Office Manager (Finance)



This position is responsible for management of all office related procedures, policies and operations for the Religious Studies department. This includes supervision of clerical employees, development and implementation of office policies and procedures, purchasing of office related materials and equipment, oversight of human resources functions for the department including payroll, and management of departmental budget.Minimum Qualifications: This position requires a high school diploma or equivalent, with six years of experience in office or administrative positions. Appropriate coursework or vocational/technical training may substitute at an equivalent rate for the required experience.Working at USF

  • Assists Chair, Program Directors, and collaborators to maintain day-to-day operations. Establishes and maintains systems for the administration of academic records for the area, including electronic files, records, and databases.

  • Supports employment administration and human resources processes, serving as a point of contact with the central HR department. Supervises administrative staff supporting the academic program to fulfill program support requirements. Fulfills administrative requirements for appointment of graduate and teaching assistantships. Fulfills administrative requirements for hiring faculty and other searches within the area of responsibility. Provides departmental hiring committee support, including preparing correspondence and mailings to applicants and prospects, maintaining applicant records, and organizing information for review by faculty. Administers appointment paperwork requirements for faculty, staff, and student employees. Prepares and approves online payroll certifications, reviews and reconciles payroll registers, and updates pay distribution. Serves as the local point of contact on payroll issues. Arranges and coordinates travel for department staff, faculty, and incoming guests and speakers. Coordinates the recruitment and credentialing of adjunct faculty.

  • Responsible for the preparation, submission, summary, and communication of budget information for the assigned area. Prepares and approves budget transfers and non-payroll expenditure transfers, reconciles remaining spending authority, prepares and maintains internal accounting records, and performs other duties related to fiscal administration. Fulfills purchasing requirements for assigned area, researching items and obtaining price quotes, entering information into university systems, receiving purchase orders, maintaining P-Card information, and reconciling purchases.

  • Supports student administration by preparing tuition waivers, processing course permits, maintaining student files and records, conducting graduation checks, and entering information into BANNER/OASIS student database system. Fulfils other student-related administrative requirements that support student instruction. Supports department or college recruitment and admissions process. May be responsible for the administration of a direct admission graduate program. Coordinates orientation for new students.
    Develops the semesterly course schedule for graduate, undergraduate, and distance learning courses. Coordinates space requirements and classroom logistics as needed to ensure seamless delivery of instruction.

  • Serves as a liaison with other academic and administrative departments regarding the academic program, represents the program on cross-functional teams, policy committees, and work groups. Analyzes quantitative and qualitative data to produce reports for internal and external use, including accreditation reviews.

  • Performs other administrative duties as assigned in support of the academic mission of the department.
