Administrative Specialist I – Residential (426) (Project Management)

The Administrative Specialist I provides essential administrative and clerical support to Eden House, a transitional residential program serving adults experiencing or at risk of homelessness. Under moderate supervision, this role supports daily operations, assists with reporting, maintains documentation, and ensures smooth communication and coordination across the program. TheAdministrative Specialist plays a vital role in maintaining records, supporting compliance processes, and helping the team meet the needs of residents as they transition to permanent or rapid rehousing solutions.

How will I contribute
Answer incoming phone calls, provide general information to callers, transfer calls, or take and relay accurate messages.Maintain accurate and timely data entry into internal systems, including HMIS (Homeless Management Information System).Prepare and update internal records, rosters, schedules, and documentation related to resident services and program activity.Create and maintain organized paper and electronic filing systems for correspondence, reports, and compliance documents.Track and compile program expenses and receipts; prepare credit card documentation for timely submission to the finance department.Assist in scheduling appointments, staff meetings, and interviews; maintain calendars and room reservations.Open, sort, and distribute incoming mail, faxes, and email communications.Operate and maintain office equipment (e.g., copiers, fax machines, printers); arrange maintenance and supply orders as needed.Locate and attach relevant documents to correspondence or reports requiring review or response.Conduct basic internet or internal system searches to find needed information or verify program-related data.Support the program team in preparing for audits, inspections, or funding reports as needed.Maintain an up-to-date directory of staff schedules and availability to support coordination of care and services.Process and submit prior authorizations for CalAIM services in a timely and accurate mannerReview care plans and supporting documentation to ensure all required materials are included for authorization requestsCommunicate with care managers to obtain any missing or additional documentation needed for submissionMaintain accurate and up-to-date records in the Electronic Health Record (EHR) systemStay current with insurance portal functionality and monitor for upcoming changes or updatesAttend relevant trainings, webinars, and seminars to maintain knowledge of authorization processes and policy changesParticipate in Care Central hours and communicate relevant updates or action items to the teamReview monthly billing reports to ensure consistency and accuracy with submitted authorizations and documentationMay encounter risk of working with persons with SMI (serious mental illness) that may include, but not limited to persons in mental health crisis, persons that may be intoxicated or impaired by drugs or alcohol, persons who may be DTO (danger to others), DTS (Danger to Self), or GD (Gravely Disabled). If such situations arise, staff will be required to call local emergency personnel to help deescalate the crisis, use crisis intervention techniques, and consult with supervisor as soon as practically possible.Perform other duties as assigned to contribute to the overall success of the program and ensure smooth operations.

What I bring
High School Diploma (or Equivalent)Obtain certification in Adult First Aid and CPR and be able to perform these skills as needed.Class C Driving License1 year of administrative support experience; experience in residential services, behavioral health, or nonprofit settings preferred; or comparable quantitative field or equivalent related work experience.Knowledge of basic office tasks, such as using office software, organizing files, and answering phones. The role involves tracking expenses, operating office equipment, and staying informed about new technologies. Strong organizational skills and attention to detail are important for keeping the office running smoothly.
Ability to obtain credentialing through the local County Managed Care Department.
Ability to organize tasks efficiently, manage time effectively, and communicate clearly. The role requires operating office equipment, learning new software quickly, and maintaining attention to detail in all tasks. Adaptability to new technologies and handling basic administrative functions with minimal supervision are also important. Willingness and ability to work a flexible schedule to meet the needs of a 24/7 service provider. Provide proof of good physical health, verifiable by a health screening, including a tuberculosis test performed by or under the supervision of a physician.Ability to inspire and guide a team toward achieving strategic goals and maintaining high standards of care. Genuine concern for the well-being of residents and the ability to provide compassionate support and care.Bilingual (English/Spanish) Preferred.
