Department Coordinator, Product Development & Production (Administrative)
The Product Development and Production teams at New England Biolabs (NEB) are accepting applications for a full-time Department Coordinator/Administrative Assistant. These departments cover a broad variety of activities related to the design, development, and manufacturing of molecular biology reagents. In this role, the Department Coordinator will have the opportunity to work within a dynamic company of scientists supporting two Executive Team Members and their departments. The successful candidate will grow their role to fit the needs of the business. This position is based at our Ipswich headquarters.
Primary Responsibilities:
Support calendar management, expense reports, meeting coordination, teleconference and video conference calls across multiple sites
Support customer and collaborator visits
Work cross-functionally to coordinate monthly department-wide meetings, including agenda development, securing meeting spaces, booking catering and accommodations, and engaging with internal stakeholders across the company
Coordinate domestic and international travel including booking flights, accommodations, car service, travel visas, restaurant reservations, meeting space and the like
Collate meeting notes and action items and drive follow-up on team-oriented projects
Work closely with business analysts to provide details to key staff in both departments as needed
Collaborate with other departmental coordinators to ensure communication and implementation of company-wide best practices
Prepare communications and maintain/improve internal reports
Required Qualifications and Experience:
Bachelor's degree (scientific focus preferred)
Minimum 5 years' experience in an administrative or related role
Strong work ethic and high integrity, emphasizing both efficiency and quality of work
Excellent organizational skills and keen attention to detail
Ability to work cross-functionally in a fast paced, dynamic environment
Strong written and verbal communication skills with an understanding and appreciation of confidentiality needs of Executive Team Members
Excellent computer skills and comfort with all aspects of Microsoft Office based applications
Self-motivated and flexible with the ability to work independently and as part of a team
Ability to multi-task and prioritize
