Marketing/Proposal Coordinator (Finance)

Responsibilities:

Drive growth in our municipal and commercial business by strengthening relationships with local governments, utilities, developers, and commercial property owners. You will partner with Technical Leads, Operations Managers, Corporate Marketing, and subject-matter experts to plan, develop, and deliver winning proposals and capture plans for opportunities.
• Coordinate all phases of the proposal process-kick-off, schedule management, data collection, reviews, production, and delivery-for municipal and commercial RFPs, RFQs, and RFIs.
• Analyze and interpret local government procurement documents and commercial development requirements to identify compliance needs and win themes.
• Develop proposal outlines, graphics, themes, and formats that resonate with planning boards, city councils, utility commissions, and commercial stakeholders.
• Draft and edit key proposal sections-project descriptions, scope narratives, case studies, resumes-and ensure alignment with client priorities and regional successes.
• Liaise with Corporate Marketing for branding, complex graphics, and compliance with large or multi-jurisdictional pursuits.
• Compile regional metrics, past-performance data, and client references to demonstrate our track record in environmental, stormwater, infrastructure, energy audits, and site due-diligence services.
• Support teaming arrangements with subcontractors and joint venture partners, including teaming agreements, and gathering marketing materials and qualifications for proposals.
• Oversee proposal production, printing, and delivery; enforce quality-assurance/quality-control standards.
• Prepare and coach teams for oral presentations, public hearings, and pitch meetings; develop slide decks, posters, and speaking points.
• Maintain lessons-learned logs and contribute to post-proposal debriefs to improve future submissions.
• Maintain and curate the regional BD content repository (SharePoint)-project sheets, capabilities statements, teaming agreements, debrief notes-to support rapid capture response.
• Assist with client outreach activities such as scheduling client meetings, tracking follow-ups, and preparing meeting materials to strengthen relationships with municipal and commercial stakeholders.
• Conduct market research on municipal budgets, bond programs, grant opportunities, and commercial real-estate trends to inform capture strategies.
• Manage regional marketing collateral: identify outdated materials, coordinate updates, initiate new brochures and fact sheets, and align with neighboring offices.
• Support trade-show logistics and materials for regional conferences (public-works, planning, building-industry shows).
• Identify process improvements to boost capture rates and streamline BD workflows.
• Conduct activities in line with internal procedures, legislation, and industry standards.
• Pursue continuous professional development and maintain a high degree of discipline, knowledge and awareness.
• Work in a safe manner at all times and report all health and safety incidents and concerns.
• Additional duties as required.

Qualifications:

• 7+ years of proposal or marketing coordination experience supporting the AEC industry including municipal, commercial, infrastructure, or environmental services pursuits (required).
• Bachelor's degree in marketing/business/communications.
• Proven ability to interpret and develop technical content for local-government and commercial procurement (required).
• Advanced proficiency in Microsoft Word, Excel, PowerPoint, Outlook, and Adobe Acrobat and InDesign; familiarity with proposal-management or CRM tools (preferred).
• Working knowledge of municipal procurement processes, state grant programs, and local bond financing.
• Strong editing skills-grammar, style, tone-with demonstrated ability to craft compelling win themes (required).
• Valid U.S. driver's license and willingness to travel regionally (~15-20%) to client sites and conferences (required).
• Project Management Professional (PMP) or similar certification (preferred).
• Experience with Adobe Creative Suite or graphic-design tools (preferred).
• Willingness and ability to travel as needed, approximately 25%.

This position requires the candidate to be a U.S. Citizen due to the projects they will be working on.

• Skill in preparing clear, concise reports, presentations, and correspondence for diverse audiences.

• Familiarity with Adobe Creative Suite or other graphic tools is desirable but not required.
