Job Description

PURPOSE SUMMARY. Perform first-level information and document processing support to in-person and telephone customers by providing general and specific information, verifying data processing and maintaining documents, and researching and resolving problems.

II. ESSENTIAL DUTIES.

Responsible for the accurate and timely documentation of court dispositions, parole and probation hearings, serving of criminal summons, scheduling associated court dates, and sentence calculations when applicable.

1. Frequent contact with inmates, answer questions, and provide assistance on issues and documents related to the courts and various agencies.

  • Ensure all booking paperwork and files are circulated to Dispositions staff. Respond or facilitate court ordered treatment program with Adult Probation and Parole Office (APPO) and the Public Defender's Office.
  • Serve all incoming documents from all agencies; Bench warrants, warrants for arrest, target notices, criminal summons (fast track), temporary orders of protection, orders to show cause, dissolution of marriage, civil claims.
  • Circulate Court Order Forensic Evaluations to medical and reception.
  • Identify, on a daily basis, inmates who are sentenced in District Court that are eligible for "Good Time Sentence Reduction" in accordance with policy.

Performs research of electronic and paper records.

1. Research records for Courts and various agencies to verify and ensure the accuracy of bookings to include proper arresting agency, court venue, completed Federal booking forms, arrival dates, names of agencies, different Courts, detainee identification, court case number for verification, and if needed, modify the name in JCMS to match the remand and ensure warrants and additional charges.

2. File commitment reports that have denial reports attached and sends copies back to the courts.

Prepare documentation and correspondence.

1. Respond to inmate requests of the judicial process.

2. Prepare commitment reports for the D.A.'s office, Public Defender's office, APPO office, District Court, and the Federal Public Defender's office.

3. Advise the contact person for in-state fugitives when they are ready for pickup or have pending local charges. Advise the contact person for out-of-state fugitives if the detainee has waived or refused extradition in court and maintains communication to have the inmate extradited in accordance with 31-4-22 NMSA 1978.

4. Court commitment orders - ensure that orders get put on the schedule for self-surrenders; complete the sentence calculations in JCMS and ensure that they get put on the release report so that they can be released on the date the court order calls for.

5. Notify the District Attorney's Office for District Court detainees with bench warrants, temporary housing and/or returning from TOC for docketing.

6. Input court information, i.e., commitment orders, judgments and sentences.

7. Complete the sentence calculations on commitments and self-surrenders; input release orders; and verify and monitors arraignment information.

8. Notify the proper court, on a daily basis, when self-surrenders fail to report.

Maintains and files records.

1. Update files on a daily basis, keeping copies and filing, while ensuring that copies are submitted to the proper courts, agencies, and staff.

ADDITIONAL DUTIES.

  • Receive and sort legal documents; communicate via telephone with the public and staff.
  • Will be cross trained in the assigned duties of each position in the Dispositions division.
  • Other duties as assigned.

QUALIFICATIONS.

A. Education. High School diploma or equivalent.

B. Experience. Two (2) years of advanced responsible administrative or customer service experience in a high-volume environment with a diverse customer base. Experience relevant to a court structured environment such as court administration, judicial system, and/or legal environment highly desirable.

C. Education/Experience substitution. In accordance with County policy

D. Licenses/Certifications. Valid driver's license. Must maintain a satisfactory driving record in accordance with County policy. Notary Public registration upon hire or is required within six (6) months of hire.

E. Other (e.g., post-offer medical exam, polygraph, background check, driver's license record, etc.). Post-offer, NCIC/Law Check, polygraph, and background check.

KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED BY THE POSITION:

Knowledge of: telephone etiquette; basic arithmetic; filing techniques and procedures; records management; word processing, spreadsheet programs, and JCMS correctional programs in order to effectively answer and respond to phone calls; perform calculations; maintain electronic and paper records; create, edit, save, sort, view, and retrieve information.

Skills in: communication and interpersonal relations in order to provide effective customer service to the public, company representatives, and other employees; handling sensitive matters in order to maintain confidentiality of personal information on inmates.

Ability to: c omprehend and carry out simple verbal instructions and recognize similarities and differences between words and between series of numbers; deal with standardized situations with only occasional variation; establish and maintain effective, professional working relationships with other employees, elected officials and the public; communicate effectively both orally and in writing; respond appropriately to public inquiries and present a positive public image.

Compensation Range
$16.07 - $24.34
