JOB SUMMARY

This position requires high level attention to detail, excellent organizational, communication and administrative skills. In collaboration with the SURGE Program Manager, the SURGE Program Assistant will support continuing education activities in coordination with the Philadelphia Department of Public Health's Division of Substance Use Prevention and Harm Reduction (PDPH SUPHR) initiatives to increase access to Medication for Opioid Use Disorder (MOUD) in primary care settings.

JOB SPECIFICATIONS

Responsibilities/Duties

  • Assist in recruitment, scheduling and tracking of training participants
  • Document, distribute, and organize meeting minutes
  • Maintain records of program activities and evaluation feedback
  • Track honoraria payments to presenters
  • Develop and maintain relationships with training partners (including PDPH SUPHR, presenters and clinical observation sites)
  • Obtain required documentation/paperwork for continuing education for training
  • Collaborate with continuing education team on applications and post-training documentation for continuing education credits
  • Summarize and report on training evaluation results
  • Provide onsite or online assistance at training events
  • Attend regular supervision and project meetings

Education/Qualifications:

  • High School diploma or equivalent and four or more semesters of course work in Public Health, Health Administration, Public Administration, or similar field from an accredited college or university preferred
  • Relevant years of experience may be substituted for college experience
  • Five or more years of work experience in administration and/or customer service in areas of health care, behavioral health, or related field
  • Commitment to harm reduction principles in the treatment of substance use disorder

Skills/Experience:

  • Strong written and verbal communications skills
  • Skilled in Microsoft Office suite, Excel, Google Suite (Gmail, Google Calendar, Google Drive, Google docs, sheets, etc.), familiar with Eventbrite and have the ability to learn and create tracking systems
  • Able to handle multiple tasks and support project timelines with a high degree of organizational skill
  • Able to work effectively and professionally in a fast-paced environment
  • Ability to work as part of a team, to prioritize and handle multiple tasks, and work independently.
  • Ability to establish and maintain effective relationships with training participants and project partners
  • Sensitivity to and experience working with ethnically, culturally, sexuality and gender diverse individuals, communities, agencies and organizations.

Work Environment:  Standard office setting with some local travel to off-site meetings/training.

Position Type and Work Schedule:  Non-exempt, full time position. Typical hours are Monday through Friday 9:00 am to 5:00 pm, with occasional evening or weekend training events. Flexible schedule options available with supervisor approval. Hybrid work-from-home schedule available with required 60% in-person work (6 out of every 10 days per pay period worked in-office).

Travel:  Able to travel to training and meetings within Philadelphia, on public transportation and/or in own vehicle.

Physical Demands:  Able to sit and work at a computer keyboard for extended periods of time. Able to lift and move up to 15 pounds.
